Your Client Portal Shouldn’t Cost $150 a Month

I tallied up what one of my photographer clients was paying for their client-facing tools last year. Pixieset for galleries. HoneyBook for contracts and invoicing. A separate form plugin for booking. Stripe’s dashboard for payment tracking because HoneyBook’s reporting was inconsistent.

Total monthly cost: about $143. That’s $1,716 a year. For tools that don’t talk to each other and live on someone else’s server.

The SaaS trap for creatives

The pitch is always the same: “Start free, upgrade when you grow.” And it works. You sign up when you have three clients and $0 in recurring costs feels amazing. Then you grow to 20 clients and suddenly you’re on the “Pro” plan. Then the company raises prices because they took VC money and need to show growth. You’re now paying $80/month for a gallery tool and $60/month for a contract tool and you can’t leave because all your client data is trapped on their platform.

That’s not a partnership. That’s rent-seeking.

What I built instead

Mankai CRM is a WordPress plugin that handles all of it. Client portals, project tracking, contracts with e-signing, galleries with proofing, invoicing with Stripe and PayPal, booking calendars, file delivery. One plugin. One annual price. Running on your own WordPress site.

$249 a year. Not per client. Not per project. Not per feature tier. Flat.

Your data lives in your WordPress database. Your clients log in at your domain. If you stop paying for Mankai someday, your site still works and your data is still yours. Try cancelling Pixieset and keeping your galleries.

Who this is actually for

Photographers, wedding planners, freelance designers, web developers who do client work. Basically anyone who needs a professional client portal and is tired of paying monthly for five different tools that should be one thing.

If you’re running a 200-person agency, this probably isn’t for you. If you’re a solo creative or a small team doing real client work and you want to own your tools instead of renting them, that’s exactly who I built this for.
